Booking Terms and Conditions at The Studio Ingatestone
These terms and conditions govern all bookings made with The Studio Ingatestone, located at 108 High Street, Ingatestone, Essex, CM4 0BA. By making a booking, you agree to adhere to these terms and conditions.
Bookings and Cancellations
Bookings can be made online through our website, directly via the Mindbody app or in person at the studio. Full payment is required at the time of booking to secure your place in the class.
Management of class passes is the responsibility of the client and it is recommended that all bookings are managed and made via our booking system. Either through our website or the Mind-body app.
Clients must cancel at least 12 hours before the scheduled start time of the class to be eligible for a class pass credit, which will enable you to reschedule your session accordingly. We strongly advise cancelling via our booking system, either via the website or the Mindbody app directly, as emails to the studio may not be actioned in time, resulting in the loss of the class pass. Cancellations within 12 hours of the session will result in the loss of that class pass. No refunds will be given. This rule is applied to single class passes, Block passes and monthly membership passes.
Classes/sessions are booked on a first-come first-served basis. A client may use the waiting list facility on the Website or Mindbody app in the event that their favoured session is unavailable. If a client joins the waiting list for a particular session and becomes automatically enrolled, their booking will be subject to the Terms and Conditions, listed within this document. Please note the waitlist cut off is 2 hours prior to the start time of the class.
In the event of a no show, the session will be forfeited without a refund.
Single class passes are a one off payment (do not automatically renew) and have a 4 week expiry.
Block passes are a one off payment and have to be used within the time specified at purchase.This is 8 weeks for both 5 and 10 block passes. Block passes are a one-off payment and do not automatically renew.
Monthly membership passes have to be used within the time specified at purchase. Please note that our memberships renew every month, they are a rolling direct debit. If you choose one of our memberships, you will be on the bronze (10 classes p/m) silver (15 classes p/m) or gold (unlimited classes p/m). Memberships are a minimum term of 3 months (in case of injury/prolonged illness/ moving out of the area please email the studio).
To cancel your rolling membership, you must email Info@thestudioingatestone.com a week before your renewal date. If you are unsure of your renewal date, this can be found by logging onto your account or through the Mindbody app.
Single class passes, block passes and monthly membership passes are non-extendable and non-transferable.
The Studio Ingatestone is not liable for expired or unused class passes. Using and managing class passes via the booking system is the responsibility of the client.
The Studio Ingatestone reserves the right to cancel classes or sessions due to unforeseen circumstances, in which case clients will be notified as soon as possible and offered a class pass credit and the option to reschedule.
Late Arrivals
Clients are advised to arrive at least 5 minutes before the start time of their class. Please note our late arrival policy – if you’re more than 5 minutes late to a session, you will not be permitted to join the class and the session will be forfeited without a refund.
Please note all new clients, who have never participated in any type of Pilates Reformer class before, should arrive at least 10 minutes before their session start time. In order to complete a safety induction of the equipment. If this safety induction is missed the instructor may deem it unsafe for the client to attend the session, resulting in the loss of the class pass as per above.
Health and Safety
All new clients must fill out and return electronically a ‘client health registration form’ prior to attending their first session at The Studio Ingatestone. This form will comprise of multiple health/medical related questions, which will need to be answered accurately and honestly, detailing any medical conditions or Injury’s which the Studio should be made aware of.
Clients must inform The Studio Ingatestone and it’s instructors of any health issues or physical limitations before the class begins. The Studio Ingatestone reserves the right to refuse participation in any class if it deems it unsafe for the client to proceed.
Clients confirm that they have no health problems which may affect their ability to participate in any class/session at The Studio Ingatestone (including, without limitation, cardiac irregularities; spinal, bone, joint, tendon or ligament injuries; spells of dizziness; asthma or other breathing difficulties; diabetes; epilepsy; any recent injuries or operations). Clients should make any such health conditions known to studio staff, who can then assess that client’s ability to participate and make any adjustments if necessary.
Pregnant clients may, provided that consent from their doctor has been provided, attend sessions until the 14th week of pregnancy. After this, clients will only be able to participate in classes where the instructor is pre/post natal qualified. This will be highlighted in the instructors biography, on the Mindbody booking system.
Clients must ensure that they are capable of performing the exercises that comprise any class/session which they attend. Clients accept that there is a risk of injury from performing exercises and using specialist equipment and clients with any concerns should consult their doctor prior to beginning any session. Advice provided by Studio staff will, under no circumstances, constitute medical advice and is not a substitute for advice provided by a qualified medical professional.
Clients are required to follow the instruction of instructors at all times during any class/session at The Studio Ingatestone.
From time to time during any session/class, Studio staff may physically adjust a clients form and posture. If any client does not want such physical adjustments, they should inform Studio staff at the beginning of each session.
Any client that suffers an accident or injury at The Studio Ingatestone must immediately report such accident or injury, and the circumstances in which it occurred, to a staff member at the Studio.
Personal Belongings
Personal belongings are brought to the Studio entirely at the clients own risk and The Studio Ingatestone accepts no liability for any loss or damage to personal belongings left unattended whilst on the premises.
Liability Waiver
The Studio Ingatestone accepts no liability for loss or damage to property or for injury to any person in or outside the Studio, except where liability for any such loss, damage or injury is by law incapable of exclusion.
In consideration of their use of the Studio’s facilities and equipment and their participation in sessions offered by The Studio Ingatestone, each client hereby waives and releases The Studio Ingatestone from any and all responsibility or liability for loss, damage or injury resulting from their participation in any session/class offered by The Studio Ingatestone or from their use of the Studio’s facilities, save in respect of death or personal injury caused by the negligent act or omission of the The Studio Ingatestone.
Amendments to Terms and Conditions
The Studio Ingatestone reserves the right to amend these terms and conditions at any time. The most current version will always be available on our website.
Governing Law
These terms and conditions are governed by the laws of the United Kingdom and any disputes will be subject to the exclusive jurisdiction of the UK courts.
